Our client is looking for a professional Executive Personal Assistant to join their dynamic team. As an Executive Personal Assistant, you will provide exceptional support to the Director of the company and various non-executive boards. Your role will involve managing information flow, organizing meetings, maintaining confidential files, coordinating travel arrangements, and ensuring the smooth operation of the executive office.

This is an exciting opportunity to work in a fast-paced environment and contribute to the success of a leading transportation service provider. The successful candidate will receive a competitive salary ranging from R20,000 to R22,000 per month CTC, along with other benefits.

Duties and Responsibilities:

  • Provide exceptional and professional support to the Director in his role as the company’s Director and a non-executive director of various boards.
  • Serve as a gatekeeper and central point of contact, managing information flow in a timely and accurate manner.
  • Type executive communications and letters.
  • Organize meetings by generating invitations, coordinating complex calendars, and arranging essential services such as catering and audio/video.
  • Organize team events and functions for the Director.
  • Answer incoming calls and take inclusive messages to facilitate effective responses from the Director.
  • Maintain highly organized and confidential files and records.
  • Manage multiple projects, autonomously provide solutions and assistance, and handle novel issues.
  • Plan and book local and international travel, create expense reports, and conduct research for the Director’s international trips.
  • Maintain a high level of professionalism that inspires confidence in all stakeholders dealing with the executive office.
  • Be available and accessible, even after hours, to assist the Director whenever required.
  • Make online bank payments for business and personal invoices and handle all FICA requests.
  • Liaise with contractors and service providers.
  • Assist with event planning and purchasing of gifts for special occasions and functions.
  • Manage the Director’s personal diary and fulfill requested errands.

Qualifications and Experience:

  • Matric and relevant personal assistant qualification.
  • Proficiency in MS Office.
  • Tech-savvy with experience using office and household gadgets.
  • Active listening skills.
  • Excellent verbal and written communication skills.
  • Discretion and confidentiality.
  • Ability to think out of the box.
  • Good research skills and experience or interest in Sales/Hospitality/Travel/Conferencing.
  • Ability to multitask and work efficiently in a fast-paced environment.
